Business problem · Knowledge access
Your company knows the answer. Your people cannot reliably reach it.
A search box cannot repair unowned, contradictory or outdated knowledge. Before building an AI answer layer, we identify authoritative sources, access rules, update owners and the cost of a wrong answer. Retrieval can then make approved knowledge easier to use while preserving citations, uncertainty and permission boundaries.

Signals of a knowledge operating problem
- Different teams give different answers to the same question.
- People ask a colleague because searching the official files takes too long.
- Old documents remain discoverable after a policy or product changes.
- New employees learn exceptions through private messages instead of maintained guidance.
- Answers need evidence, but current tools return documents rather than the relevant passage.
02 · Diagnosis
What must be governed before retrieval is useful
Reliable answers require more than embeddings. We define authority, freshness, permissions and the behavior for uncertainty.
Which decisions or questions need a trusted answer?
Which source wins when documents disagree?
Who owns updates and how quickly must changes appear?
Which users may see which documents, fields or answers?
What evidence must accompany an answer, and when should the system abstain?

Possible responses after diagnosis
The interface follows the knowledge and permission model—not the other way around.
Knowledge cleanup
Consolidate sources, name owners, mark validity and remove contradictions before adding an AI interface.
Grounded answer layer
Retrieve approved passages, answer with citations and abstain when evidence is missing or access is restricted.
Knowledge in the workflow
Surface the relevant policy or instruction inside the task where a person needs it, instead of adding another destination.
Smallest credible test
Choose one knowledge domain with an accountable owner.
Build and evaluate a focused corpus before connecting every shared drive and knowledge base.
- 1Choose one decision or question family
- 2Approve authoritative sources and permissions
- 3Create a representative evaluation set
- 4Test citations, abstention and freshness
- 5Review failures with the knowledge owner
FAQ
Is uploading all our files enough?
No. More files can increase contradiction and noise. A useful system needs source authority, access rules, freshness and evaluation.
What is retrieval-augmented generation?
It is a pattern where the system retrieves relevant approved material and uses it as evidence for an answer. It can improve grounding, but it does not guarantee correctness by itself.
Can answers respect existing permissions?
Yes, if identity and document permissions are designed into retrieval. A single unrestricted index is not appropriate for permission-sensitive knowledge.
